Affordable Comfort Mini Split Pros LLC
1. Booking Confirmation & Arrival Window
Booking is Tentative: Booking a service (quote visit, installation, or repair) online or over the phone does not guarantee a spot. Your appointment is not confirmed until you have received an official confirmation email or phone call from our management.
Quote/Assessment Visit: We ask that you please allow us a 30-minute arrival window for all initial quote or diagnostic visits booked at 8:30 AM. All later booking slots allow a 2-hour arrival window. Our technician will call or text when they are on their way.
Installation/Service Day: For large projects (e.g., full mini split installation), a dedicated arrival time will be communicated, but the client must allow for reasonable delays due to unforeseen traffic, prior job complexities, or weather conditions.
2. Service Time & Adjustments
Initial Estimate: The quote for installation or repair is based on the information provided and a visual assessment of the home/site conditions.
Project Adjustments: If, upon arrival or during service, the technician determines the scope or complexity is worse than predicted (e.g., unforeseen electrical issues, complex wall penetration, or difficult access), we reserve the right to either:
Adjust the final price with client approval before proceeding.
Prioritize the service to fit the quoted cost/time.
Refuse service if the conditions pose an unacceptable safety risk (See Section 9).
Hourly Rate: If you choose to extend the scope of work beyond the original quote, work will proceed at our standard hourly labor rate, agreed upon verbally or in writing prior to continuation.
3. Cancellations & Site Access
Quote/Assessment Cancellation: For initial quote or diagnostic appointments, a $50 fee will be charged if canceled within 4 hours of the appointment.
Standard Cancellation Fee: For all scheduled Installation or Repair appointments, a $150 service fee will be charged if the appointment is canceled within 4 hours of the scheduled time.
Inability to Access / Lock-Outs: If our technicians are unable to access the home or site within 15 minutes of the scheduled arrival window, we reserve the right to charge the applicable cancellation fee. Please provide clear, detailed entry instructions to address access complexities.
4. Site Conditions & Right to Refuse Service
Safe Environment: Affordable Comfort, Mini Split Pros LLC reserves the right to remove its technicians from your home or job site should the environment become unsafe, unsanitary, or threatening.
Refusal of Service: Technicians have the choice to refuse service upon arrival if the site is in an extreme condition or if they feel unsafe/threatened. This may include but is not limited to: severe hoarding, active mold/asbestos concerns, aggressive animals, or active construction hazards.
Fees for Refusal: If service is refused due to conditions not previously disclosed, the applicable cancellation fee (Section 3) will be charged.
5. Equipment, Supplies, and Water/Electricity
Our Equipment: Affordable Comfort, Mini Split Pros LLC provides all the necessary tools and equipment for the contracted work.
Client Requirements: It is required that the site has working electrical outlets and running water accessible for use during the service. We reserve the right to charge a standard cancellation fee if these basic utilities are not provided.
Heavy Lifting: For safety and liability reasons, our technicians will not lift or move heavy items or furniture (e.g., large refrigerators, pianos, full china cabinets) to gain access to the work area. The client must ensure the work area is clear prior to arrival.
6. Permits and Compliance
Client Responsibility: For all major installations (including new mini split systems), the client acknowledges that obtaining necessary building permits, electrical permits, or HOA approvals is the sole responsibility of the client, unless explicitly agreed upon in the separate, signed service contract.
Technical Compliance: All work performed by Affordable Comfort, Mini Split Pros LLC will adhere to all current local and state codes (e.g., NEC, UPC, local building department requirements) to ensure the installation will pass inspection.
Delay/Refusal: If installation is delayed or refused due to a lack of required client-obtained permits, the cancellation fee (Section 3) may apply.
7. Property Damage and Breakage
Notification: If accidental damage to property (e.g., walls, floors, personal items) occurs, you will be notified immediately by our technician.
Reimbursement: Reimbursement for damaged items will be made up to $500 with a copy of your replacement receipt or a quote for a similar item.
Insurance Claims: Reimbursement for major damage exceeding $500 may be handled by our commercial liability insurance company.
Reporting Damage: All damage must be reported within 24 hours of job completion. We will assume you do not wish to resolve the issue if we do not hear from you within 30 days, voiding the claim.
Items of Sentimental Value: Please remove all items of high sentimental or antique value from the work area before service begins. We reserve the right not to touch items we deem fragile or valuable. By leaving these items in harm’s way you are expressly stating that they are not of extreme value.
8. Work Guarantee (Warranty)
Reporting Problems: You must report any problems or deficiencies with the installation or repair work within 72 hours of job completion to take advantage of our workmanship guarantee.
Inspection and Correction: If notified within the guarantee period, we will schedule an inspection and correct the problem related to our workmanship at no additional labor cost, as soon as our schedule allows.
Exclusions: This guarantee does not cover defects or failures arising from:
Existing structural, electrical, or plumbing issues not created by our technicians.
Client misuse, damage, or neglect of the equipment.
Normal wear and tear.
9. Direct Hiring of Our Technicians
Non-Solicitation: Affordable Comfort, Mini Split Pros LLC invests heavily in training and procurement. You are liable for a referral fee of $5,000.00 if you directly employ (legally or cash basis) anyone currently or formerly employed by us within the 2-year period following their employment with us.
Breach: Exchanging contact information with the intent to solicit or accept illegal business is considered part of this breach. Attorney, legal, and miscellaneous expenses incurred to investigate and/or collect this fee will be added if this employment is discovered.
10. Web Site Terms and Conditions of Use
These terms govern the use of the Affordable Comfort, Mini Split Pros LLC website.
Agreement: By accessing this website, you are agreeing to be bound by these Terms of Use and all applicable laws and regulations.
Intellectual Property: The materials (information, logos, text) on this website are protected by copyright. Permission is granted for temporary, non-commercial viewing only. You may not modify, copy, or use the materials for any commercial display.
Disclaimer/Limitation: The materials on the website are provided "as is." Affordable Comfort, Mini Split Pros LLC makes no warranties, expressed or implied, regarding the accuracy or reliability of the materials. In no event shall we or our suppliers be liable for any damages arising out of the use or inability to use the materials.
Governing Law: Any claim relating to this website or these terms shall be governed by the laws of the State of Colorado without regard to its conflict of law provisions.
